Two decisions per transaction

Every transaction gets two labels: business or personal, and for business spending, a category. Only business spending in a deductible category counts toward your deductions. Income is not categorized; it is just business or personal. Transfers between your own accounts are neither income nor spending.

The categories

When you pick a category you choose from 69 everyday labels (for example Gas & fuel, Client meals, Software & apps) grouped into ten sections: Transportation, Food & dining, Home & living, Health & wellness, Family & care, Business & work, Professional services, Lifestyle, Finance, and Loans & interest.

Behind the scenes each label rolls up to one of 14 tax buckets that drive the deduction math and your accountant's view: Vehicle & Mileage, Phone & Internet, Platform Fees, Software, Equipment, Home Office, Meals, Marketing, Insurance, Travel, Car payment, Student loan payment, Charitable donations, and Other.

How the automatic categorizer decides

In order, for each new transaction:

  1. Your rules. A merchant rule you created always wins. See Teach RevvFi with categorization rules.
  2. What you have taught it. If you have picked the same category for a merchant at least three times with a clear majority, RevvFi locks that in.
  3. The bank's own category, mapped to RevvFi's.
  4. AI (Claude), using the merchant name, the account's tag and your industries.

A confident result is applied. A less confident one is held for you (needs review). Business purchases over $75 with no receipt are flagged as needing a receipt. Transactions from an account tagged Personal are always put in front of you, so a business expense on a personal card is never silently missed.

Review modeUnder Settings → Preferences, Transaction review mode switches between AI suggests, you confirm uncertain ones (the default) and AI categorizes everything automatically.

Clearing "needs review"

The Dashboard shows N transactions need review. Tap it (or Review transactions) to go through them with Looks right, keep, Business, Personal, Mixed, or in bulk with Mark Biz, Mark Personal, Category and Delete. A Mixed expense lets you enter the business share of a single purchase. This is a different queue from the Review Queue, which holds proposals from Revvy and connected assistants.

Deductible percentages

You can set a business percentage on any transaction ({n}% biz) for purchases that are partly personal.

Changing a transaction by hand

Open any transaction to change its category, business or personal, which business, business percentage, vendor, amount, date and notes. The Expense / Income switch appears on bank-synced rows. Rows imported from a gig platform's tax summary are locked. A change you make by hand is never overwritten by a rule later.
